Counteroffers, “the price works” and 50+ cars: when an AI agent hands a client to a human sales rep

An AI agent's job is to find the people worth talking to. But if it misses the moment to bring in a human, the whole funnel is pointless. Here are the signals we taught the system to catch, and what happens next.

Why handoff matters more than it seems

In our UAE campaign, 91 of 680 companies got an offer, and six made it to negotiations. Those six are a sales rep's work. If the agent doesn't hand the client to a person in time, a warm lead gets one more automated reminder and goes cold.

Six signals

1. “The price works”

The client got a quote and replied with something like “The price looked very good to me…” (a real line from an importer in Venezuela). That's the main sign an order may be coming. The system puts it in front of the owner as the top line: who it is, exactly what they said, what the next step is.

2. Counteroffer

The client names their own price for a model: “We buy this one for this much.” The agent doesn't haggle. It repeats the number once—only what the client said, none of our terms—logs it and says a sales rep will discuss it. The client's record gets a “counteroffer” tag with the model and the number.

3. Large volume

A request for 50 cars or more is its own category. These clients are flagged as key accounts, sorted by volume, and the offer doesn't go out automatically—a person reviews it.

4. Deal security questions

Bank guarantees, a sample contract, “we've been burned by scammers before”—from that point on, a human leads. The agent can't close these questions and shouldn't try. The team has its own proof for them: the office, the factory, documents, inspecting cars at the port. That gets shown in negotiations, not on a cold call.

5. “Who do you work with?”

Asking for references means the client is seriously considering a deal. Making up case studies is off the table. The right move is to pass it to a sales rep who can talk about real experience.

6. “Buying in the next two months,” or a callback request

If the client says “call me back tomorrow at three,” the system doesn't schedule an AI call. It creates a task for a sales rep, with the time in both the client's and the sales rep's time zones. If it isn't picked up within the business day, the owner gets a reminder.

What happens after the handoff

The AI goes quiet. While a client has an open “live call from a sales rep” step, the agent doesn't call them. We learned this the hard way once: a call scheduled before the handoff went out after it, and the client heard a robot when they were expecting a person.

The sales rep has everything. A summary: what was requested, which models, what was said about price (with a quote), the buying timeline, a good time to call. No need to replay recordings.

Language isn't a barrier. The sales rep can call personally—by phone or WhatsApp—with real-time translation: they speak their own language, and the client hears English, Arabic or Spanish, and vice versa. They can also join the agent's call if the client asks for a human mid-conversation.

How call translation works for the sales rep

Translation isn't there for the wow factor. It's there for speed. The sales rep doesn't wait for an interpreter or write in English—they just call. The call screen shows what's happening right now: listening to the client, translating, speaking the translation, and the delay on the last phrase. If the sales rep switches to the client's language themselves, the system doesn't translate that phrase again.

FAQ

Why not let the AI run negotiations too?

Because in B2B with container shipments, a person makes the decision, and they want to talk to a person. The agent saves time on finding and preparing leads. It doesn't replace the sales rep.

How does the system know “the price works”?

From the meaning of the reply to the offer, not keywords. Borderline cases go to a human too—better to show the owner one extra than miss an order.

How many clients does a human end up handling?

Depends on the project. For us it's a small slice of the base: the first labeling pass turned up 15 requests for 50+ cars, and in the UAE six companies out of 680 reached negotiations in three weeks. That's the point—people spend their time only on those.
